HR and Operations Manager

 

 

 

Location:

 

Office based role in Oakhanger, near Bordon Hampshire

You will need to be able to drive as our office is in a beautiful rural setting, without transport links. Due to the nature of the role, there is not an option for remote working. 

Job purpose:

The purpose of this role is to provide support to the HR & Operations Manager and ensure that   the HQ office administration and distribution of materials is carried out in a professional and timely manner, allowing the other team members to focus on their day-to-day roles.

Pancreatic Cancer Action, (registered charity No.1137689) was founded in 2010 by a rare survivor of the disease. We are a small team headed by our Founder & Chief Executive who runs the charity plus a board of Trustees, which provides direction for the organisation. In August 2020 Pancreatic Cancer Action merged with Pancreatic Cancer Scotland making our team stronger than ever.

 

Pancreatic cancer has only a seven per cent survival rate and this figure has not improved significantly for over 40 years. Despite it being the fifth biggest cancer killer in the UK, pancreatic cancer receives only three per cent of overall research funding. With a strong focus on early diagnosis, it is Pancreatic Cancer Action’s aim to improve survival rates through awareness, medical education, improved patient information and by funding research specifically into the early diagnosis of pancreatic cancer. Simply, we want more people diagnosed in time for surgery, currently the only potential for a cure.

  

What you’ll do:

  • Assist with the distribution of various packs, supporter materials and patient information making sure they are dispatched quickly and efficiently
  • Send conference materials via couriers
  • Filing both electronic and paper copies
  • Answer telephone enquiries, directing them to the relevant team member
  • Order office supplies g. stationery, toilet rolls, tea and coffee
  • Open and distribute post
  • Shredding of confidential papers
  • Oversee receiving deliveries
  • Ensure that the office cleaning, maintenance and waste are maintained correctly by contractors
  • Open and lock up the office
  • Assist with obtaining and chasing references for new employees.
  • Assist the Operations Manager with the onboarding of new employees, ensuring that they have completed all of the necessary forms and organise IT equipment and a welcome pack for them.
  • Assist the Operations Manager with various well-being initiatives.
  • Oversee the implementation of first aid, fire safety, lone worker, cyber training across the organisation.
  • Be responsible for maintaining the HQ health and safety risk assessments and recording and rectifying any health and safety issues identified.
  • Perform other duties that the HR & Operations Manager may consider appropriate
  • On rare occasions attend in-person meetings, events and conferences as required– acknowledging that some of these may be out of hours, at weekends and involve overnight stays

Your skills and qualifications:

  • Excellent oral and written communication skills.
  • Competent in Microsoft Word, Teams, SharePoint and Zoom.
  • Experience of managing multiple tasks to deadlines and prioritising own workload.
  • Experience of using Customer Relationship Management systems (CRM).
  • Excellent interpersonal skills and the ability to communicate well with a broad range of people, including those affected by pancreatic cancer.
  • Educated to GCSE (or equivalent) in English, Maths and IT to grade C or above.
  • UK driving licence is essential – our office is in beautiful rural Hampshire and the nearest train station is a 15-20-minute drive away.

  • Good time management skills, highly organised with the ability to plan and prioritise on own initiative including when under pressure and meeting deadlines
  • Ability to work flexibly and enthusiastically as part of a team.
  • Ability to communicate with a variety of people in a friendly, professional, and confident manner.
  • Be tactful, patient and diplomatic and maintain a sensitive approach towards colleagues and PCA users, mindful of confidentiality and discriminatory practices.
  • Be empathetic towards Pancreatic Cancer Action’s aims, values and objectives
  • Willingness to work flexible hours when required to meet work demands or attend occasional meetings/conferences/events outside normal working hours
